Declare deceased learners
Declare a learner on a DG project who has died, on the SETA's acknowledgement letter — download it or complete it in LMIS.
A project must declare a deceased learner as soon as the death is known. The declaration is the SETA's Acknowledgement & Confirmation letter, which also confirms that every other learner on the project is alive.
Open the DG application and click the Deceased learners chip (SETA staff find the same panel at the top of the Learners tab in the Project Office). The table lists the learners on the project with their date of death, the Home Affairs (DHA) result and whether they have been declared.
Complete it in LMIS
- Tick the learners who have died and give each date of death. Learners Home Affairs reports as deceased are already ticked.
- Type the authorised signatory's full name and designation.
- Tick the declaration and click Declare and file the letter. The letter is generated and filed with the project.
Or sign it by hand — click Download the letter for the pre-filled Word letter (one page, on the SETA letterhead), have it signed, and upload it to the project. If the letter cannot be produced, the page says why instead — for example that the template is missing on the server; pass the message to the SETA's IT support.
When a Home Affairs verification finds that a learner on a contracted project has died, LMIS creates the letter on every project the learner is on, ready to sign. Also record the learner as a dropout with the reason Deceased, so that a replacement can be considered.
